Mô tả công việc

1. Welcome Guest & Office Phone System:
• Welcomes guests and greets them cheerfully and offers them seats.
• Receives phone calls from customers and transfers to appropriate employees for them to handle the situation and makes sure that it is delivered to the right person.
• Keeps telephone lists updated on a monthly basis and distributes to the employees.
• Arranges teleconferences for visitors (if required) to enhance administrative efficiency.
• Ensures the Reception station is staffed all the time when on duty.
2. Logistic Arrangements:
• Provides administrative works such as transportation arrangement for managers/ visitors, hotel accommodations to give our employees an efficient support.
• Coordinate with the drivers on car schedules and ensure its proper implementation.
• Supports in booking the meeting room for employees and coordinate for cleaning after use.
3. Office Management:
• Monitors incoming & out-coming mails for offices. Sorts into appropriate folders for distribution.
• Manages office equipment & facilities such as telephone system, fax, cartridges, company letterhead & envelopes, drinks, etc … to ensure it operates properly.
• Organizes & maintains office files and manages stationery to provide employees.
4. Office Supplies/ Expenses:
• Monitor monthly office expenses by checking all expenses occurred and raise the payment requests timely.
• Follows up the supplier’s contract and share their performance feedback to Procurement for their further actions.
5. Canteen:
• Coordinate with relevant managers to have information for lunch/ dinner reserved.
6. Visa/ Working Permit and Resident Card:
• Coordinate with visitors/ expats to have their supporting documents for relevant process.
• Ensure the process is completed and/ or renewal timely.
7. Others:
• Confirms the safety of office environment for employees to work in a safe and pleasant environment.
• Ensure 5S implementation in Reception Area.

Yêu cầu công việc

Major on BA, Marketing
Excellent in English (both oral and written skill)
Fresh Graduate/ At least 1 year in similar position.
Office Management
Basic communication in English
Microsoft offices
Customer-oriented mindset
Convince ability, smart, flexible working but discipline, careful, helpful
Team work also can work independently
